Description:

Client Services Executive needed. Our Client Services team is at the forefront of the company, ensuring that delegates can book onto conferences and training seminars quickly and easily and dealing with enquiries efficiently and effectively, interacting with both Sales and Finance departments on a daily basis. The Client Services Executive may be required to travel to events when needed and perform as an integral part of the event team.

The management of an event
Pre-event management
* Prepare registration forms (based on the information contained in the sales brochure)
* Create the invoice/joining instructions template document for each event
* Create an invoice and joining instructions for each paying delegate
* Manage online bookings
* Pass invoice copies daily to the Finance Department
* Email invoice, joining instructions, hotel booking form, and visa information form (as applicable) to
paying delegates
* Contact debtors requesting payment for any unpaid outstanding invoices
* Create a credit note and cancellation fee invoice for cancellations
* Enter details of any FOC delegates (e.g. sponsors, press) on the master
delegate list & forward confirmations
On-site management
* Attend events on-site as required
* Finalise attendee list, print badge
* Manage hostesses
* Carry out payment duties: taking payment from debtors, walk-ins
* Manage registration - delegates, speakers & answering queries about the event
* Assist with functions - gala dinners, site visits

Post-event management
* Cross reference all the business cards collected at the event
* Update invoicing/final delegate list for walk-in registrations & raise credit notes for no-shows
* Produce a post event report

Education and Experience
* Between 1-3 years customer services experience
* Degree or equivalent
* Knowledge of customer service principles and practices
* Knowledge of relevant computer applications (Word, Excel & Outlook)
* Knowledge of administrative procedures
* A second language is an advantage (Spanish, Arabic, French, Chinese, Portuguese)

Salary: Between 20k-23K based on experience & language skills
